Plan

  • Pick a committee
  • Appoint a committee chair
  • Understand the who, what & why
  • Decide on a theme
  • Pick a date

Prepare

  • Estimate your event attendance
  • Reserve a facility
  • Prepare a budget
  • Delegate committee
  • Line up vendors
  • Order patches
  • Prepare & distribute flyer

Perform

  • 1 – 2 months ahead
    • Collect registrations
    • Start shopping
    • Check with committee regularly
  • 2 weeks ahead
    • Check facility
    • Call all vendors
    • Meet with your committee – assign tasks
    • Make a timeline of the event in 10 minute intervals
  • Day of event
    • Arrive at least 1-2 hours early
    • Go over checklist
    • Delegate volunteers
    • Enjoy Event!!!

Pack It Up

  • Return anything borrowed or rented
  • Send notes or verbally thank all volunteers
  • Buy thank you gifts for committee members
  • Turn in roster & budget to Event Organizer
  • Council no longer requires a roster or ethnic breakdown
  • Mail check requisition & receipts to SU Treasurer
