You most likely need to reserve a facility for your event.
It is a good idea to start months in advance. Large facilities
fill up quickly! In some cases you may even need to change
your date based on facility availability

Prepare
your event budget and start a checklist
The
goal of every SU event is to BREAK EVEN. You will determine
how much to charge for your event by estimating your budget.
- Budget
items to consider:
- Facility cost
- Food or snacks
- Paper goods
- Entertaiment
- Decorations
- Patches
- Craft or office supplies
- Miscellanous (Allow 10% for unforeseen or miscellaneous
expenses)
Start
a spreadsheet or worksheet.

- After
you've estimated your budget and estimated the number of
attendees, determine how much you need to charge for the
event.
- Add
10-150% to whatever number you come up with.
- Extra
expenses will arise - they always do!
Submit
your budget to the Event Coordinator for Approval.
Important:
Save every receipt of every penny you spend!
You will need them to get reimbursed!

Popular
speakers or entertainers fill their schedules months in advance.
Call and reserve their services as soon as you know your date.

Publicize
your event
- Start
publicizing your event as soon as you know the date. Girl
scouts, leaders and their parents are BUSY people. Get your
date saved as soon as possible.
- Provide
a flyer to the SU webperson so she can put it online. Click
her to email her. Even if you don't know all the details,
get a 'Save the Date' flyer out there. Ask the SU webperson
to email your flyer to all the leaders or the appropriate
age groups.
- Whenever
possible, provide your flyer in a .pdf format to the webperson..
